  • Participant Details: Name, age, and any specific neurodiversity or accessibility needs that require accommodation.
  • Medical Information: Disclosures of all known allergies, medical conditions, prescribed medications (such as AAIs), and dietary requirements.
  • Contact Details: Parent/guardian names, email addresses, phone numbers, and designated emergency contacts.

2. How We Use Your Information

We use the collected data strictly for operational, safety, and administrative purposes:

  • Class Administration: To process fees, manage bursaries, and communicate vital updates regarding schedules, rehearsals, and performances.
  • Safety & Welfare: To create necessary Allergy Risk Assessments (RAs) that detail emergency contacts and step-by-step emergency instructions for tutors.
  • Policy Exemptions: To manage and approve specific exceptions to our mobile phone policy for health monitoring or caring responsibilities.

3. Digital Media and Privacy

  • Rehearsal Privacy: We strictly respect privacy during youth theatre sessions, ensuring no unauthorized filming or photos occur to maintain a safe space for experimentation.
  • Consent: We require participants and staff to obtain consent before sharing images or videos of others in the youth theatre.

4. Data Sharing and Security

  • Internal Access: Medical and allergy risk assessments are made accessible only to the specific tutors leading the participant's group to ensure immediate emergency response capabilities.
  • Third Parties: We will never sell your personal data to third parties. Data is only shared with medical professionals or emergency services in the event of a critical incident (such as transferring care during an anaphylactic emergency).
  • Data Storage: All physical and digital records are stored securely in compliance with standard data protection regulations.

5. Your Data Rights

Parents and guardians have the right to request access to the personal data we hold about their child, request corrections to any inaccuracies, or request the deletion of data once the child is no longer enrolled (subject to standard legal and safeguarding retention requirements).
